Ohio Department of Insurance
In 1998 ODI implemented Intellivue
as its electronic document storage and retrieval system. Project
goals included conversion of a 500,000 document backfile conversion,
integration with a wide variety of external applications and
databases, and high-speed access to millions of images. The
flexibility of Intellivue has allowed ODI to function efficiently
with a robust, state of the art document management system
since implementation.
The Ohio Department of Insurance (ODI) is a state insurance department
that exists to provide consumer protection through regulation and
consumer education of insurance agencies licensed to operate in
Ohio. It is an unbiased source of information on insurance companies
and the coverage they offer.
ODI is responsible for approving individual
policy products from all insurers operating in Ohio and guaranteeing
compliance with state insurance laws and regulations. As a result
of this role, their challenges included:
- The need to support import and export of documents from many
sources
- High-speed access to more than 5 million images
- Integration with other main-line business applications and
databases
- Expansion of the system from initial, limited deployment to
enterprise-wide access across all departments
The Intellivue document management solution for ODI supports over
200 end users and included creation of thirteen applications for
use across 8 departments, 13 high-volume scanning stations, and
supports a database containing over 5 million images.
Results of
the project include:
- Decreased average turnaround time for
Property & Casualty filings from 48 days to 17 days
- Successfully “image-enabled” ODI’s
COSMOS application, eliminating duplicate data entry and streamlining
information retrieval
- Greatly reduced lost files, misfiles, and multiple paper copies
- Currently enabling ODI to process upwards of 1.5 million images
annually
- Enabled the internal development of
a reusable interface with NAIC’s mission-critical SERFF
application, further reducing operational inefficiencies
